Proceedings

The proceedings from the ADASS '98 Conference will be published as part of the Astronomical Society of the Pacific Conference Series, and each participant (except the discounted student registration) will receive a copy as part of the registration fee. The proceedings will also be available electronically, as with past ADASS proceedings.

Instructions on Manuscript Preparation for the Proceedings are available. The important deadline to remember is December 15, 1998. Invited papers will be limited to 8 pages; while poster papers, contributed oral papers, and computer demonstrations will be limited to 4 pages.


Presentation Instructions

Oral Presentation Instructions
Oral presentations are 12 minutes with 3 minutes for questions (contributed papers) and 25 minutes with 5 minutes for questions (invited papers). Traditional overhead and slide projectors will be available for these presentations. In addition, a Windows/Linux computer attached to an LCD projector for computer-aided presentations will be available (such as PowerPoint or a web browser). Those wishing to make use of electronic presentation equipment should have indicated this on the Equipment Requests section of the Abstract Submission Form, or have contacted the LOC at adass@ncsa.uiuc.edu.

If you plan to make an electronic presentation, you will be given access to a computer at Illinois prior to the conference so that you may ftp the presentation materials to Urbana. Instructions concerning the transfer of materials will be provided shortly. When you arrive at the conference, please contact an LOC member far in advance of your session in order to go over the details of your presentation.

All oral presenters are advised to be prepared with hardcopy transparencies in case of equipment failure.

Poster Presentation Instructions
Poster papers will be displayed on panels (free-standing bulletin boards). The available area will be approximately 4 feet wide and 5 feet high. Push pins for attaching posters will be supplied. Note that there will not be flat table space or chairs next to the poster areas.
Computer Demonstration Instructions
Computer demonstrations sessions will run concurrently with the poster session and allow presenters to demonstrate software or network-based services (e.g., web sites).

For your demo, you will be provided with:

  • a table, approximately 3 feet by 5 feet in size
  • a board with at least 1 square meter of space for poster materials (located behind the table)
  • tape to attach the poster materials
  • an Internet connection

If you do not want any of these items to be included in your booth, please notify the LOC (adass@ncsa.uiuc.edu) as soon as possible.

If you requested a computer for your demo, it will be set up and ready for you to install your software on Sunday. You will be contacted soon by email with more specific instructions and information concerning the hardware you will be using.

If you are bringing your own equipment, you are encouraged to bring appropriate security accessories with you. Security will be provided for the demo room during hours that the Illini Union is open; the room will be locked at night. If you plan to remove your equipment during or at the end of the day, be sure to let a LOC member know.

Note, that the display board will be different than that of the poster presentations and will require materials to be attached with tape, which will be supplied.


Abstract Submission Instructions

The ADASS98 Abstract Submission Form uses a LaTeX format to allow automated processing and tracking of abstracts; however, authors need not be familiar with LaTeX to complete and submit the form.

To submit an abstract, begin by downloading the Abstract Submission Form, abstract.tex, and the Abstract Style File, adassabs.sty. Then edit the Abstract Submission Form, following the instructions given for each section. Do not remove any comment characters from the LaTeX file, they are used by the processing scripts. Much of the input will be enclosed by braces (i.e., { }); however, some input is specified by "uncommenting" a specific line. To uncomment a line, remove the initial "%" character.

Although it is not necessary to be familiar with LaTeX to fill out and submit this form, authors are encouraged to use LaTeX to process their completed forms to check for errors. If you have LaTeX available to you, please process the file locally prior to submitting it. (See LaTeX hints for tips on running LaTeX.)

The format of the abstract produced by this form will be very similar to the way it will appear in the abstract book to be distributed at the meeting. Authors familiar with the AAS LaTeX Style are encouraged to use AAS symbol macros in the abstract where applicable. See the LaTeX hints for details.

Send completed Abstract Submission Forms to adass@ncsa.uiuc.edu. Note that an automated system is used to receive abstracts. For this reason, please consider these tips:

  • Do not include any other form (e.g. financial aid) with an abstract. Instead, send them as separate messages.
  • Do not include any extra messages intended for a real person except within the "comments" section of the abstract form or in a separate message; otherwise, they may go unnoticed.
  • Abstracts should be sent as plain text. If you use a word processor such as MS Word or WordPerfect, be sure to save the file as plain text before mailing it.
  • Do not remove any comment characters from the LaTeX file, as they are used by the automated processing scripts.

If you have any problems with the running LaTeX on your abstract file, you can send email to adass@ncsa.uiuc.edu. If you do not have access to LaTeX to verify your files, you can edit the files and submit them directly.
